Reporting to the Operation Manager, the Service Administrator will be responsible for all administrative functions for the branch including allocating and producing invoices for all products and services for the US Operations of the Field Service Division and providing administrative assistance to the Branch, and Corporate office as needed.
What You Will Do
Your responsibilities will include, but not be limited to the following:
- Assist with invoicing Service and Sales Orders as required
- Ensure the accuracy and timeliness of all service invoicing including the regular distribution, summary and review of work-in-progress inventory by job
- Costing for service, shop, and field service time sheets and jobs
- Allocating labor, consumables, and parts to clients’ accounts
- Opening and closing jobs in a timely manner
- Ensuring all invoices are sent in a timely manner
- Interact with customers, resolve issues, ensure the billing and payment process is smooth and timely
- Record fleet vehicle mileage, bi-weekly payroll reporting, and other administrative functions as required
- Transportation Program Management
- Administration of driver and vehicle files and all sections within for DOT requirements
- Safety Program administration – work with Safety Advisor and Branch Coordinator to organize and submit facility & fire inspection reports, WCB reporting, attend safety meetings and take minutes, coordinate 3rd party safety training with local providers in GP, update safety communication board monthly
- Other administrative duties as assigned by the Service Operations Administrator as required
Education, Skills and Experience
Your education and experience include:
- An Office Administration or Accounting diploma or equivalent education and experience
- 5+ years of experience in the Compression industry in an equivalent role (preferred)
- Outstanding customer service skills with both internal and external customers
- Must be self-motivated and team oriented
- Strong organizational and time management skills
- Ability to manage multiple projects and deadlines with minimal supervision
- Highly competent with computer software including Microsoft Office.
- Interpersonal skills including human resources, collaboration with other business units, managing change, negotiation skills, customer service skills
- Familiar with Safety programs and requirements
Physical Strain
Include an intro to physical strain
- Standard requirements. Bending, squatting, climbing, stooping, twisting and reaching will all be required occasionally in this position
- Sitting for long periods of time
- Lifting 10 pounds maximum with occasional lifting and/or carrying of objects weighing up to 10 pounds
